Terms and Conditions for Vendors 2024

1. Payment Terms

  • Deposit and Fee Payment: Upon acceptance as a vendor, all deposits and fees must be paid within 14 days. Failure to comply will result in forfeiture of the vendor’s spot, which will then be offered to another vendor.
  • Non-Refundable Fees: All event fees, including deposits, are non-refundable.

2. Attendance, Deposits, and Commission Structure

  • Non-Attendance: If a vendor fails to attend the event, any deposits paid will be forfeited.
  • Deposit as Minimum Guarantee: The deposit also serves as a minimum guarantee. This means:
    • If a vendor’s total commission (calculated as a percentage of sales) is equal to or less than the deposit amount, the deposit will fulfill the commission obligation, and no additional payment is required.
    • If the commission exceeds the deposit, the vendor is responsible for paying the difference.

3. Operational Hours

  • Mandatory Operation: Vendors are required to operate for the full duration of the event. Early closure incurs a penalty of $100 per hour.

4. Arrival and Setup

  • Move-In Compliance: Vendors must adhere to the designated move-in times. Failure to do so may result in removal from the event without a refund.

5. Spot Allocation

  • Non-Transferable Spots: Vendors are prohibited from selling or transferring their spot without prior approval from the event organizer.

6. Professional Conduct

  • Behavioral Standards: Vendors must maintain professional and appropriate conduct at all times.

7. Cleanliness and Waste Management

  • Site Maintenance: Vendors are responsible for keeping their space clean and tidy. Waste must be removed by the vendor, unless waste management services are provided by the organizer.
  • Penalties for Non-Compliance: Failure to maintain cleanliness will result in a $100 fine, plus any additional fees for damages incurred.

8. Insurance and Licensing

  • Business Insurance: Vendors must carry valid business insurance.
  • Licensing: Vendors must maintain all necessary licenses for operation.

9. WorkSafeBC and Permits

  • WorkSafeBC Registration: Vendors must be registered with WorkSafeBC.
  • Health and Fire Permits: Valid health and fire permits are required at all times.

10. Invoice Payment

  • Timely Payment: Final invoices must be paid within 72 hours of receipt.

Additional Provisions:

  • Compliance with Laws: Vendors must comply with all applicable local, provincial, and federal laws.
  • Event Changes: The organizer reserves the right to make changes to the event format, date, or other aspects as necessary.
  • Indemnification: Vendors agree to indemnify and hold harmless the event organizer against any claims arising from their participation in the event.
  • Limitation of Liability: The event organizer is not liable for any loss, damage, or injury sustained by vendors, their employees, or property.

Acceptance: By applying for a vendor spot at The Greater Vancouver Food Truck Festival 2024, you agree to adhere to these terms and conditions. Failure to comply may result in penalties, including removal from the event and forfeiture of fees.
